Case study

AI translator for a professional online journal

Expert articles translated in minutes instead of hours — with industry terminology, the author's voice and document formatting preserved.

Who it's for

Editorial teams, online journals, media outlets and companies that regularly translate professional content into other languages.

The project was built for an online journal about essential oils and aromatherapy.

The problem we remove

Manual translation and adaptation of expert articles with specialist terminology. Each article used to take hours: working through the text, checking terms, editing, and rebuilding the formatting of the Word file.

Key challenges

  • Keeping terminology consistent, including plant names and Latin binomials.
  • Carrying over the author's style and tone.
  • Catching the errors and inaccuracies typical of machine translation.
  • Preserving headings, italics, tables and other formatting.

The solution

We built a dedicated web application that translates articles from English to Russian according to the publication's own editorial requirements. The user uploads a Word document (DOC/DOCX), starts the translation and gets a finished file back in the same format.

What the app does

  • Translates expert articles with the subject matter of essential oils and plants in mind.
  • Uses a dedicated glossary of terms.
  • Keeps the author's voice and produces natural, fluent Russian.
  • Preserves document structure: paragraphs, headings, italics, tables and two-column blocks.
  • Runs a multi-step pipeline: translation, terminology and style review, formatting restoration and final validation.
  • Flags unverified passages: the system doesn't add facts of its own, and questionable spots are marked for the editor to check.

This isn't a general-purpose machine translator — it's an editorial tool tuned to one specific niche.

How it works

  1. Upload the document

Upload the article as a DOC or DOCX file.

  2. Start the translation

The AI translates the document using the configured rules, checking terminology and style along the way.

  3. Download the finished article

Get the translated Word document back with its formatting intact.

How much time and money the AI translator saves

An example calculation for a company translating 10,000 words a month.

Translation volume
Before AI: 10,000 words/month
With the AI translator: 10,000 words/month
Working time
Before AI: 40 hours/month
With the AI translator: 16 hours/month
Main work
Before AI: Manual translation and editing
With the AI translator: Review and final editing

This is a model calculation based on the assumptions above, not measured financial results of a specific client. Savings of 24 hours a month add up to 288 hours a year. At €12 per working hour, that's about €3,450 a year (€288 a month), so the €300 base solution pays for itself in roughly one month.

What it delivers in practice

  • An article translated in minutes instead of hours.
  • Fewer manual editing steps.
  • Document formatting preserved.
  • Specialist terminology handled correctly.
  • Consistent editorial rules for every article.
